Deleting Files in a Document Locker

Firm users with the Client Collaboration - Request Dashboard - Document Locker - Delete permission can manually delete files from a Document Locker using the procedure below. In addition, files that have reached their expiration date are automatically deleted. You can view the date a file is scheduled for deletion in the Expiration Date column on the All Files tab.

Note: Certain types of files, such as signed Form 8879 files, cannot be deleted manually. These files remain in the Document Locker for two years. Firm users cannot delete client-uploaded files. These files remain in the Document locker until they are deleted by client users or after two years, whichever comes first.

There are two stages of file deletion in a Document Locker.

  • A deletion from the Deleted Files tab is a permanent removal, or purge, of that file. Purged files cannot be recovered.
  • Files are automatically purged 30 days after they are deleted from the All Files tab. The date a file will be purged displays in the Purge Date column on the Deleted Files tab. You can also purge files manually before that 30 days period is over.

Client Collaboration captures information about who deletes a file and when they delete it. This information displays on the Deleted Files tab.

  1. If you are not already on a Requests page, click , and then select Requests.
  2. Do one of the following on the Requests dashboard, depending on the location of the request: 
    • To open a workflow status page, click the status name or status wedge in the Request Status section.
    • To open the Reopen status page, click View reopen requests on the Reopen tile.
    • To open the Overdue status page, click View overdue requests on the Overdue tile.
    • To open the Error status page, click View errors on the Errors tile.
  3. Do one or both of the following as needed to narrow the list of requests to select from:
    • Click above the grid and select a filter set. You can also create a new filter set.
    • Enter all or part of the client name in the search box above the grid.
  4. Click in the Actions column and select View files in Document Locker.
  5. Locate the file in the list. If needed, select options in the Filters section on the left side of the window to filter the file list.

    Note: If the Filters section does not display, click above the list.

  6. Do either of the following:
    • Delete a single file. Click and select Delete. You can also select the check box for the file and then click Delete above the list.
    • Delete multiple files. Select the check box for each file you want to delete, and then click Delete above the list.
  7. Click Yes.

  5. Click the Deleted Files tab.
  6. Locate the file in the list. If needed, select options in the Filters section on the left side of the window to filter the file list.

    Note: If the Filters section does not display, click above the list.

  7. Do either of the following:
    • Purge a single file. Click and select Delete. You can also select the check box for the file and then click Delete above the list.
    • Purge multiple files. Select the check box for each file you want to delete, and then click Delete above the list.
  8. Click Yes.
